Consolidating tools: a HubSpot case study

  • October 21, 2024

One of the most compelling reasons to consider HubSpot is the opportunity to consolidate your business tools into a single, unified platform. Over the years, I’ve worked with several businesses that struggled with the inefficiency of juggling multiple tools to manage their marketing, sales, and customer relationships. One case in particular stands out, where a client successfully moved from using five separate tools—Mailchimp, Excel sheets, Pipedrive, WordPress, and Trello — to fully integrating their operations within HubSpot.

Before making the switch, this business used Mailchimp for email marketing, relying on Excel spreadsheets to track leads, and Pipedrive for CRM and pipeline management. Their website was built on WordPress, and they organised their sales workflows with Trello. While these tools are effective individually, managing separate platforms created inefficiencies. For instance, they had to manually update lead data across different systems, leading to errors and miscommunication. The sales team often found it difficult to track their pipeline accurately, and marketing struggled to target the right prospects because their data was spread out.

When I introduced HubSpot, the change was transformational. They were able to move all of their lead tracking, email campaigns, pipeline management, and website hosting into a single platform. Here’s how it played out:

Email marketing: Instead of using Mailchimp, they switched to HubSpot’s integrated email tool. With HubSpot’s CRM at the core, email campaigns were automatically connected to the customer data. This meant they could create personalised and automated workflows without manually importing and exporting lists from one system to another. The result? A 20% improvement in open rates and a significant reduction in time spent managing email lists.

CRM and pipeline management: HubSpot’s CRM completely replaced their need for Pipedrive and many Excel sheets all stored in different places with varied permissions and styles. Every lead interaction is now logged automatically, giving the sales team a real-time view of where prospects were in the pipeline. They could assign tasks, track follow-ups, and even see email engagement—all in one place.

Website and landing pages: Migrating their WordPress site into HubSpot’s CMS simplified their content management process. They no longer needed separate plugins for forms or landing pages; everything was native to HubSpot. The built-in performance tools allowed them to monitor page speed and SEO metrics without relying on third-party tools.

Task and sales management: Instead of using Trello to organise their sales workflows, HubSpot’s task automation and deal pipelines allowed them to automate repetitive tasks and focus on closing deals. The sales team no longer had to switch between tools to track their to-do lists—HubSpot sent reminders and updates directly, improving efficiency and accountability.

This consolidation did more than just streamline their tools. By having a centralised system, they could now track every interaction with leads across their entire lifecycle—from the first email click to the final sale. It allowed their marketing and sales teams to work in sync, using the same data to make smarter decisions.

The result? Within six months of fully adopting HubSpot, this business saw a 30% increase in sales efficiency and cut down their monthly SaaS expenses by 13%. They were able to allocate that saved budget to more strategic growth initiatives rather than paying for multiple overlapping tools.

Final thoughts
Switching to HubSpot didn’t just simplify their toolkit—it aligned their teams, reduced manual errors, and freed up valuable time. For any business considering a more unified approach to managing customer relationships, marketing, and sales, HubSpot provides a single platform that can replace many of the individual tools you might currently be relying on.

Whether you’re struggling with fragmented data or just want to simplify your tech stack, HubSpot offers an all-in-one solution that can boost your business efficiency while improving overall performance.
